Job Description:
The Executive Assistant to the CEO will provide high-level administrative support to the CEO, ensuring smooth and efficient operations across all business functions. This role involves managing schedules, facilitating communication, and handling confidential matters with discretion. The Executive Assistant will serve as a trusted partner to the CEO, helping to manage daily priorities, projects, and tasks.
Job Responsibilities:
• Manage and maintain the CEO’s schedule, including meetings, appointments, travel arrangements, and events.
• Screen and prioritize emails, phone calls, and other communications directed to the CEO, providing timely and appropriate responses.
• Prepare reports, presentations, and other documents for internal and external meetings.
• Act as the first point of contact between the CEO and internal/external stakeholders, ensuring professional and timely communication.
• Coordinate and facilitate meetings, including taking minutes, preparing agendas, and following up on action items.
• Handle confidential information with discretion and professionalism.
• Assist in managing key projects and initiatives, ensuring deadlines are met and tasks are completed.
• Support the CEO in personal tasks as needed, including travel and event coordination.
• Monitor and manage expense reports, budgets, and financial matters related to the CEO’s office.
• Maintain office supplies and other administrative support systems.
• Work closely with other members of the executive team to ensure the CEO’s priorities are effectively managed.
Qualifications:
• Bachelor’s degree in Business Administration or a related field (preferred but not mandatory).
• Proven experience as an Executive Assistant or in a similar administrative role supporting senior leadership.
• Exceptional organizational and multitasking skills with attention to detail.
• Excellent communication and interpersonal skills.
• Ability to handle sensitive and confidential information with the highest level of discretion.
• Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
