1. Client Communication & Lead Management
  • Send professional introduction emails to potential clients with the company profile and product portfolio across UAE, Qatar, Oman, and KSA.
  • Respond to RFQs, WhatsApp enquiries, and website enquiries, with accurate product and pricing information.
  • Log all leads in CRM without duplication and ensure timely follow-ups.
  • Create opportunities in CRM upon instruction from Sales Executives.
2. Quotation & Order Processing
  • Draft quotations with correct pricing, delivery timelines, and product details.
  • Prepare quotation revisions and ensure accuracy prior to submission.
  • Track Purchase Orders from clients and maintain updated records.
  • Collect delivery details and coordinate with internal teams for timely dispatch.
3. Documentation & Invoicing
  • Prepare delivery notes, invoices, and proforma invoices.
  • Maintain proper filing of all sales documents in both soft and hard copies for quick retrieval.
4. Customer Service & Issue Resolution
  • Provide after-sales support and manage customer complaints professionally.
  • Resolve operational issues at the ground level; escalate to Sales Lead when required.
5. Sales Coordination Support • Assist in developing sales materials and promotional campaigns.
  • Ensure availability of sales-related equipment, samples, and materials before any activity.
  • Support Sales Team by tracking orders, monitoring delivery schedules, and maintaining high customer satisfaction across markets.
Skills & Qualifications
Core Skills:
  • Strong communication skills (email, WhatsApp, phone, CRM, Teams).
  • Excellent coordination and multitasking ability.
  • Accuracy in preparing quotations, invoices, and documentation.
  • Strong follow-up discipline and responsiveness.
  • Ability to manage multiple sales executives’ requirements simultaneously.
  • Professional problem-solving and escalation management.
Technical Skills:
  • CRM entry & lead management (avoid duplication, update status, opportunity creation).
  • MS Office proficiency (Excel, Word, email drafting).
  • Experience preparing quotations, POs, invoices, and delivery notes.
  • Understanding of order cycles, delivery coordination, and documentation flow.
Qualifications
  • Bachelor’s degree.
  • Previous experience in sales coordination or customer service is an added advantage.
  • Strong organizational skills and attention to detail.
